1. Definitions

• “Donor” means any individual or entity who contributes money, goods, or services to the Trust.

• “Volunteer” means any individual who offers their time and services to the Trust without expectation of monetary remuneration.

• “General Member” means an individual admitted as a member of the Trust for a defined annual or periodic term, as decided by the Board of Trustees.

2. General Terms (Applicable to All)

• All persons associating with the Trust — as Donors, Volunteers, General Members, or Life Time Members — must act in good faith and in furtherance of the charitable objects of the Trust.

• The Trust reserves the right to accept, decline, or discontinue any association, donation, or membership at its sole discretion, without assigning any reason.

• No individual associated with the Trust, in any capacity, shall use the Trust's name, logo, or reputation for personal, political, or commercial gain without prior written consent from the Board of Trustees.

• All contributions, whether monetary or in the form of service, shall be utilized solely towards the charitable objects of the Trust and shall not, under any circumstances, be applied for the personal benefit of any Trustee, Member, Volunteer, donor or their families.

• The Trust is committed to inclusivity; benefits, opportunities, and association with the Trust are open to all Indians irrespective of caste, creed, colour, sex, or religion.

3. Terms for Donors

3.1 Nature of Donations

Donations may be made in cash, cheque, online transfer, UPI, or in kind (goods/services), and shall be used exclusively for the charitable objects of the Trust as set out in the Trust Deed, including education, elderly care, women's empowerment, disability support, Sports for Development and Peace (S4D), skill development, and disaster relief.

3.2 Receipts and Tax Benefits

A donation receipt will be issued for all donations received. Tax exemption benefits, if any, shall apply only once the Trust obtains the relevant registration under Section 80G of the Income Tax Act, 1961; until such registration is obtained and communicated, donations shall not be assumed to be tax-exempt.

3.3 Refund Policy

Donations made to the Trust are voluntary and non-refundable, except in cases of a genuine transaction error (e.g., duplicate payment or incorrect amount charged), which must be reported within 7 days of the transaction along with valid proof, for the Trust's review and discretion.

3.4 Use of Donor Information

Donor information will be handled in accordance with the Trust's Privacy Policy. Donors may opt out of future communications at any time by writing to the Trust.

4. Terms for Volunteers

4.1 Nature of Association

Volunteers offer their time, skills, and services voluntarily and without any expectation of salary, wages, or monetary compensation. Volunteering with the Trust does not create an employer-employee relationship, and volunteers shall not be entitled to any employment benefits.

4.2 Code of Conduct

• Volunteers must act with honesty, integrity, and respect towards beneficiaries, staff, other volunteers, and the general public.

• Volunteers must follow the instructions and guidelines issued by the Board of Trustees or designated in-charge for any activity or program.

• Volunteers must maintain confidentiality of any sensitive information relating to beneficiaries, donors, or the Trust's internal affairs.

4.3 Reimbursement of Expenses

Volunteers may be reimbursed for reasonable, pre-approved, out-of-pocket expenses (e.g., travel) incurred specifically for Trust activities, subject to submission of valid bills/receipts and approval by the Board of Trustees.

4.4 Termination of Volunteering

Either the volunteer or the Trust may discontinue the volunteering association at any time, with reasonable notice, without any liability arising on either side, except for the return of any Trust property in the volunteer's possession.

5. Terms for General Members

5.1 Eligibility and Admission

Any individual who supports the objects of the Trust and fulfils the eligibility criteria prescribed by the Board of Trustees may apply for General Membership. Admission as a General Member is at the sole discretion of the Board of Trustees.

5.2 Membership Tenure and Fees

General Membership shall be valid for the period (annual or periodic) as prescribed by the Board of Trustees from time to time, subject to payment of the applicable membership fee. Membership fees are non-transferable and non-refundable.

5.3 Rights of General Members

• Receive updates on the Trust's activities, programs, and events.

• Participate in general meetings and activities as permitted by the Board of Trustees.

• Volunteer or contribute towards specific programs of the Trust.

General Membership does not confer any right to vote in the administration of the Trust, or any claim over the assets, funds, or governance of the Trust, unless expressly granted in writing by the Board of Trustees.

5.4 Renewal and Termination

General Membership must be renewed upon expiry of its term, as per the prevailing fee structure. The Board of Trustees reserves the right to terminate or refuse renewal of membership if a member's conduct is found to be inconsistent with the objects, values, or reputation of the Trust.

6. Terms for Life Time Members

6.1 Eligibility and Admission

Life Time Membership is granted to individuals upon payment of a one-time prescribed contribution, as decided by the Board of Trustees from time to time, and subject to approval of the application by the Board.

6.2 Nature and Validity

Life Time Membership remains valid for the lifetime of the member and does not require periodic renewal or additional fees, unless otherwise decided by the Board of Trustees for administrative or statutory reasons.

6.3 Rights of Life Time Members

• Continued recognition as a long-term supporter of the Trust across all its programs and events.

• Priority invitation to events, programs, and functions organized by the Trust.

• Opportunity to mentor, guide, or contribute specialized expertise towards the Trust's charitable objects.

As with General Membership, Life Time Membership does not confer voting rights in the Trust's administration or any claim over its assets or funds, unless expressly conferred in writing by the Board of Trustees in accordance with the Trust Deed.

6.4 Non-Refundable Contribution

The one-time Life Time Membership contribution is non-refundable under any circumstances, including voluntary withdrawal, relocation, or termination of membership by the Trust for valid cause.

6.5 Termination

The Board of Trustees reserves the right to revoke Life Time Membership in cases of conduct that is found to be seriously detrimental to the interests, values, or reputation of the Trust, after providing the member a reasonable opportunity to be heard.

7. Intellectual Property

All content on the Trust's website — including text, images, logos, and design — is the property of Mahatejas Trust unless otherwise stated, and may not be copied, reproduced, or used for commercial purposes without prior written permission.

8. Limitation of Liability

The Trust, its Trustees, employees, and volunteers shall not be liable for any indirect, incidental, or consequential loss or damage arising out of a person's association with the Trust as a Donor, Volunteer, General Member, or Life Time Member, except where such loss arises from proven gross negligence or wilful misconduct on the part of the Trust.

9. Indemnity

Donors, Volunteers, General Members, and Life Time Members agree to indemnify and hold harmless the Trust and its Trustees against any claims, damages, or liabilities arising from their own acts, omissions, or misconduct in connection with their association with the Trust.

10. Amendments to These Terms

The Board of Trustees reserves the right to amend, modify, or update these Terms and Conditions at any time, in line with the objects of the Trust Deed and applicable law.

Updated Terms will be posted on this page with a revised “Effective Date,” and continued association with the Trust after such changes constitutes acceptance of the revised Terms.

11. Governing Law and Jurisdiction
